Job Description
Purpose of Position:
Provide the initial point of contact to clients
Manage incoming and outgoing mail by post and courier
Enter new claims into Claims Management System
Manage incoming fax and insurer mailboxes Key Responsibilities:
Welcome clients to the office
Answer incoming phone calls in a timely and effective manner
Open and distribute incoming mail effectively
Send outgoing mail and couriers effectively
Manage and distribute incoming faxes and emails from clients
Print and enter new claims into Claims Management System and prepare hardcopy files
Update Claims Management System as required by Adjuster
Liaise with Adjuster when new claims are allocated
Manage boardroom and meeting room bookings
Maintain and tidy reception, boardroom and meeting room
Retrieve files from archive on request
Effect the transfer of files to archive appropriatel
Type client reports in an accurate and timely manner
Answer client and insured queries effectively
Effectively deal with service/product replacement providers
Ensure matters offered for filling are filed in an appropriate and timely manner
Complete office errands/general tasks, such as stationary orders, banking
Ensure office forms maintained
Assist Administration Team with various tasks
Diary management as required including processing outgoing mail daily
