We are currently seeking a suitably qualified Administration Support Officer, starting as soon as possible for an initial 6-month contract. This is with a possible chance of extension.

Job Description:

Administration Support Officers provide administrative and operational support to local business teams which may include a mix of finance, human resource, property, information technology (IT) and other corporate activities. Working under the direction of senior employees, they make decisions within defined parameters relating to their area of responsibility. They may have supervisory responsibilities including task allocation, on-the-job training, checking of work and providing immediate feedback on performance.


Perform financial administration tasks including money handling, receipting, payment of invoices and associated processing, reconciliation of data, and contributing to financial reporting

Prepare periodic reports, incorporating the completion of end of month journal processing

Coordinate local work area procurement and assist with contract administration

Prepare staffing reports and assist with the coordination of recruitment and staff movements

Assist with the coordination of employee rosters, phone schedules and training schedules

Work with local leaders to build staff capability through coaching and training

Check the work of administrative staff to monitor accuracy and quality of work against established performance standards

Provide specialist advice and procedural guidance to staff

Coordinate responses to requests for information about local operations and corporate reporting requests

Represent the team or work area in relevant forums and committees

Coordinate the provision of building property services, IT, telephony services, security, petty cash management and asset and equipment maintenance and liaise with service providers

Provide executive support including travel arrangements, diary and appointments, and secretariat functions

Provide local fleet management in accordance with departmental guidelines
Knowledge Required:

Administrative and records management standards, protocols, systems and procedures

Local property and IT systems

Financial systems, delegations, policies and procedures, including the Public Governance, Performance and Accountability Act 2013
