Overview of the Work Area and Position

The Canberra Health Services Division of Women, Youth and Children provides a range of medical specialties and allied health services. A strong emphasis is placed across all sections on accessible and timely care, delivered to a high standard of safety and quality. This is underpinned by the Division’s commitment to research and training. The Division works in partnership with professional colleagues, consumers, and a range of government and non-government service providers to ensure the best possible outcomes for patients.

The ACT Women’s Health Service (WHS) provides inter-professional and holistic nursing, medical and counselling services to women in the ACT. Services are provided from both central and outreach locations. WHS understands that disadvantage and vulnerability contributes to poor physical and emotional health for many women. For this reason we give priority to women who experience significant barriers to health service access. These barriers may include, but are not limited to, the impact of violence, social or economic disadvantage, disability, language, culture, sexuality or isolation.

Eligibility/Other Requirements:

This position is a protected position and is open to women only as Canberra Health Services, consistent with section 34(2)(i) of the Discrimination Act 1991, considers that it is a genuine occupational qualification for a woman to be employed in this position to most effectively lead the counselling service.

Prior to commencement successful candidates will be required:

To undergo a pre-employment National Police check.
Duties


Co-ordinate and provide superior customer service sensitive to the needs of women accessing the WHS including: i. Reception duties,
ii. Maintenance of ACTPAS booking system,
iii. Provision of intake and service information and taking receipt of referral information,
iv. Referral follow up and drafting recall letters,
v. Assisting women to navigate the health system.


Review and co-ordinate administrative functions for the service including: i. Monitor work flow and set priorities within the work area,
ii. Develop and maintain procedures and systems,
iii. Undertake financial processing,
iv. Administrative support for health promotion activities provided to clients and health professionals by the WHS.


Provide executive administrative support to the Women’s Health Service Operational Manager and general administrative support for the day to day management and operation of the Women’s Health Service including: i. Collection and maintenance of statistics and reports, including the establishing and maintaining Excel spreadsheets,
ii. Processing/filing of leave applications and flex sheets, and assisting with recruitment activities,
iii. Secretariat support for committees and meetings.


Liaise and network with stakeholders including facilities managers and outreach locations and contribute to work health and safety practices: i. Oversee equipment and facility maintenance requirements,
ii. Undertake role of Health Safety Representative and Fire Warden.


Maintain effective communication channels
